Official Rules & Guidelines

Contest Overview

Phoenix Pride is inviting the community to help create one of our official 2026 commemorative clack fans in celebration of our 45th Anniversary. The winning design will be produced as a limited-edition commemorative fan available during Phoenix Pride Festival Weekend.

The winning design will be produced as an official Phoenix Pride commemorative clack fan in partnership with FabulousMe, the manufacturer of Phoenix Pride’s commemorative fan collection since 2021. Only 300 fans of the winning design will be produced.

No purchase is necessary to enter or vote. Participation in this contest is free. This contest is void where prohibited by law.

Contest Timeline

• Submission Period: July 2, 2026, through July 24, 2026, at 11:59 PM Arizona Time
• Public Voting Period: July 27, 2026, through July 31, 2026
• Winner Announcement: August 3, 2026

Eligibility

• The contest is open to legal residents of the State of Arizona who are eighteen (18) years of age or older at the time of entry.
• Employees, board members, contractors, and immediate family members of Phoenix Pride, as well as members of their households, are not eligible to participate.
• No purchase is necessary to enter or vote.
• This contest is void where prohibited by law.

Submission Requirements

• Entries must be submitted via email to artists@phoenixpride.org no later than July 24, 2026, at 11:59 PM Arizona Time to be eligible.
• Submission emails must include: entrant’s full name, email address, phone number, date of birth, and a title or name for each submitted design.
• Participants may submit up to three (3) entries.
• By entering the contest, participants certify that all information provided is true, accurate, and complete. Submission of false, misleading, or incomplete information may result in disqualification.

Design Requirements

• Entries must be the entrant’s original work and may not infringe upon the intellectual property rights of any other individual or organization.
• Artificial intelligence (AI)-generated artwork or imagery is not permitted.
• Designs must incorporate an element recognizing or celebrating the 45th Anniversary of Phoenix Pride.
• Designs must be appropriate for audiences of all ages.

Submissions may not contain:

• Hate speech, harassment, or discriminatory content.
• Explicit sexual content, nudity, or graphic violence.
• Political campaign messaging or endorsements.
• Defamatory or libelous content.
• Third-party logos, trademarks, copyrighted characters, or celebrity likenesses without permission.
• Promotion of alcohol, tobacco, cannabis, or other age-restricted products.

File Specifications

• Entries must be submitted in PNG, PDF, or PSD format.
• Artwork must be submitted at a minimum resolution of 300 DPI.
• Additional production specifications and templates may be provided by Phoenix Pride.

Submission Review

All submissions will be reviewed by Phoenix Pride prior to advancing to the public voting period. Phoenix Pride reserves the right, in its sole discretion, to remove, reject, or disqualify any submission that:

• Violates any contest rule or requirement;
• Contains prohibited content;
• Infringes upon the intellectual property or other rights of any person or entity;
• Contains false, misleading, or incomplete information;
• Is deemed inconsistent with the mission, values, public image, or operational needs of Phoenix Pride; or
• Is otherwise determined to be inappropriate for inclusion in the contest.

Submission to the contest does not guarantee inclusion in the public voting period. All decisions regarding submission eligibility and advancement to public voting shall be made by Phoenix Pride and are final.

Voting

• Public voting will take place from July 27, 2026, through July 31, 2026, using the Jotform platform.
• Eligible entries selected by Phoenix Pride will be presented for public voting using the title provided by the entrant.
• Each person may vote once per valid email address. To prevent duplicate votes, Phoenix Pride requires a unique, deliverable email address for each vote submission and will accept only one vote per email address.
• Duplicate, fraudulent, automated, temporary, disposable, or otherwise invalid email addresses and votes will be rejected or removed at the sole discretion of Phoenix Pride.
• By participating in the voting process, individuals consent to the enforcement of the one-vote-per-email rule and to email verification procedures used to maintain the integrity of the contest.
• Phoenix Pride reserves the right to investigate, remove, or invalidate votes suspected of fraud, manipulation, automated voting, or other improper means.
• Phoenix Pride reserves the right to close voting early, extend voting, or remove entries from the voting platform in the event of technical issues, suspected fraud, or circumstances beyond its control.
• In the event of a tie, the winning design will be determined by a vote of the Phoenix Pride staff.
• Phoenix Pride reserves sole discretion over voting integrity and final winner selection.

Ownership, Licensing, and Intellectual Property

• By entering the contest, participants certify that their submission is their own original work and does not infringe upon the rights of any third party.
• By submitting an entry, participants grant Phoenix Pride an irrevocable, perpetual, worldwide, royalty-free license to use, reproduce, modify, adapt, publish, display, distribute, and otherwise utilize the submitted artwork for purposes related to the contest, public voting, promotion, marketing, and production.
• Participants acknowledge and agree that their submitted artwork may be publicly displayed, shared, reproduced, and promoted by Phoenix Pride during and after the contest period.
• Upon selection of the winning entry, all right, title, and interest in the winning design, including all associated intellectual property rights, shall transfer to and become the sole property of Phoenix Pride.
• Phoenix Pride reserves the unrestricted right to modify, adapt, resize, recolor, reformat, or otherwise alter any submitted or winning design for production, marketing, or promotional purposes.

Design Production

• Submitted designs may be modified to accommodate production requirements.
• Final colors, sizing, placement, layout, and production specifications are at the sole discretion of Phoenix Pride.
• The final printed fan will include the official Phoenix Pride, FabulousMe, and FabulousMe Been There® logos.
• Winning the contest does not guarantee that the final printed fan will exactly match the submitted artwork.
• Phoenix Pride reserves the right not to produce any submitted design if production, operational, or other unforeseen circumstances require.

Prize

The winning entrant will receive:

• Their artwork featured on an official 2026 Phoenix Pride commemorative clack fan.
• Production of a limited run of 300 commemorative fans, which will be distributed during Phoenix Pride Festival Weekend.
• Two (2) complimentary admissions to all Phoenix Pride-produced Festival Weekend events and activations.
• Two (2) Dugout Reserve tickets to one remaining 2026 Arizona Diamondbacks regular season home game, subject to availability and scheduling.

Entrants who are twenty-one (21) years of age or older at the time of Festival Weekend will receive access to applicable VIP areas and experiences that are restricted to guests aged twenty-one (21) and older.

Entrants who are between eighteen (18) and twenty (20) years of age at the time of Festival Weekend will receive access to all age-appropriate Festival Weekend events and activations produced by Phoenix Pride; however, access to age-restricted areas, including VIP spaces restricted to guests aged twenty-one (21) and older, will not be provided.

Prizes have no cash value and may not be transferred, substituted, or exchanged.

Winner Selection and Prize Eligibility

• The design receiving the highest number of valid public votes, subject to these Official Rules, shall be designated the winning design.
• Selection of a winning design grants Phoenix Pride the right to produce, distribute, and otherwise utilize the winning design regardless of the winner’s response or acceptance of the prize package.
• To receive the advertised prize package, the winning entrant must respond to notification from Phoenix Pride and complete any required documentation within the timeframe specified by Phoenix Pride.
• If the winning entrant fails to respond or declines the prize, Phoenix Pride retains all rights to produce and utilize the winning design, but the prize package may be forfeited.
• In the event of a tie, the winning design shall be determined by a vote of the Phoenix Pride staff.

Disqualification

Phoenix Pride reserves the right to disqualify any entrant who:

• Violates any contest rule or requirement;
• Provides false, misleading, or incomplete information;
• Engages in vote manipulation or fraudulent activity;
• Submits artwork that violates these rules;
• Infringes upon the intellectual property rights of another party; or
• Engages in conduct deemed harmful to the integrity of the contest, Phoenix Pride, or the broader community.

All decisions regarding disqualification shall be made at the sole discretion of Phoenix Pride.

General Conditions

• This contest is not sponsored, endorsed, administered by, or associated with Meta, Facebook, Instagram, Jotform, the Arizona Diamondbacks, FabulousMe, or any other social media, sports, manufacturing, or technology platform.
• Phoenix Pride reserves the right to cancel, suspend, modify, or terminate this contest at any time for any reason.
• Phoenix Pride reserves sole discretion over eligibility determinations, voting integrity, submission review, design modifications, prize administration, and final winner selection.
• By entering this contest, participants agree to abide by these Official Rules and release Phoenix Pride, its officers, directors, employees, contractors, volunteers, and representatives from any liability arising from participation in the contest or acceptance of any prize.
• By entering the contest, participants acknowledge that they have read, understood, and agreed to these Official Rules and Guidelines.

Privacy

Information collected during the contest, including names, email addresses, phone numbers, and dates of birth, will be used solely for the administration of the contest and related promotional activities by Phoenix Pride and will not be sold to third parties.

All decisions of Phoenix Pride are final and binding.
